Events and Operations Coordinator
Reports to:Â Events Manager
Location: Halcyon (3400 Prospect St NW, Washington, DC)
Status: Hybrid Full-Time Exempt (Remote work up to two days per week)
Salary Range:Â $55,000-$60,000 (commensurate with experience)
We are looking for an Events and Operations Coordinator to help drive the narrative of a pioneering social impact organization. In this role, you’ll be responsible for supporting the planning, coordination, and execution of a variety of events for the organization.
You will report to the Events Manager and collaborate with various stakeholders to ensure seamless event delivery from start to finish—all while amplifying Halcyon’s mission to advance social entrepreneurship.

What We Need:
Planning and Logistics
- Assist the Events Manager with planning and executing various Halcyon events such as internal meetings, fireside chats, partner appreciation events, alumni gatherings, or donor engagements including breakfasts and lunches.
- Track and prioritize pre and post event projects.
- Manage event logistics: inventory, setup, catering, AV, registration, and attendee management.
Event Management
- Manage event materials: invitations, agendas, registration forms, badges, and promotional content.
- Manage small events as assigned from start to finish.
- Handle post-event tasks: surveys, thank-you notes, and reports.
- Collaborate with marketing teams to ensure cohesive event branding.
Operations
- Assist the Vice President of Operations with facility, IT, and HR-related tasks such as meeting vendors for walk throughs, coordinating with the facilities team to ensure small projects have been done, and assisting with the capital improvement budget.
- Oversee inventory and assist in meeting the supply needs of the team.
- Administrative duties such as data entry, maintaining operational documentation, etc.

Membership
- Assist the Vice President of Operations and the Events Manager with a new membership program being launched later this year.
- Be on-site to assist members with questions, restock supplies such as coffee, etc.
Who You Are:
- 1-2 years of relevant experience in Event Management, Hospitality, or a related field.
- Self-Management and Teamwork: Ability to work independently and in collaboration with Events and Operations Team.
- Organizational Excellence: Strong multitasking and organizational skills, with experience using project management software to manage multiple projects efficiently.
- Problem-Solving & Attention to Detail: Ability to anticipate issues, solve problems under pressure, and ensure flawless execution with keen attention to detail.
- Technical Proficiency: Microsoft Office Suite, and virtual event platforms (Zoom, Teams).
- Communication: Excellent verbal and written communication skills; and ability to professionally interact with vendors and key stakeholders that include clients, internal teams.
