Title:               Events Coordinator

Reports to:     Director of Events

Summary

This role is integral to Halcyon’s overall success. The Events, Partnerships Engagement team is responsible for serving internal and external stakeholders by executing strategic gatherings that are thoughtfully co-designed. These events and engagement opportunities serve as a platform for Halcyon to nurture relationships with our community and ecosystem that fuel our fundraising. In this role you will be responsible for assisting in the planning and execution of events including executive lunches, donor cultivation gatherings including investor meetings, Founders Mixers, and happy hours. In addition, Halcyon designs and executes an annual awards gala that gathers 500 social impact stakeholders from around the world and raises critical operating funds Other premier events include board meetings, program launch events, convenings and conferences and Fellows showcases.

Responsibilities:

  • Serve as department liaison to design scope of work; create timelines and punch lists; and order, distribute, and manage all event-related materials
  • Contribute to event concept building and theme development
  • Manage vendor relationships as assigned including designing and finalizing menus for events
  • Assist with all other event preparation, from inception, day-of execution, and event wrap-up (including thank-you cards, post financial reports, post event communications, debriefings, etc.)
  • Lead coordination of volunteers for the Halcyon Awards, Fellow showcases, and other events
  • Create floor plans
  • Lead design, setup and breakdown of event spaces
  • Maintain the general appearance of the event spaces, making sure they are ready for tours and events
  • Administrative needs as requested
  • Monitor incoming and outgoing invoices and follow up with accounting to ensure payment
  • Reconcile budgets for each event
  • Support the general administrative duties of the events team including organizing catering; coordinate with other departments around events requirements, and arrange travel
  • Maintain and organize the office’s event storage rooms and implement an event inventory tracking process
  • Draft, update and maintain event documents and databases
  • Other duties, as assigned

Minimum Education Required:
Bachelor’s degree required

Minimum Experience Required:  
Two years of hospitality experience. Experience working with database software (examples NEON, Every Action, SalesForce, etc.) a plus.

Title:               Director of Development

Reports to:     Chief Executive Officer

Job Summary

Plan, organize, and direct Halcyon’s fundraising, including annual fund, foundation grants and support, individual giving, major gifts, corporate gifts, planned giving and special events. Persuasively communicate Halcyon’s mission and programs to potential funders. Work closely with the Halcyon team, diverse stakeholders and supporters, and a wide range of community institutions. Establish, nurture and maintain relationships with foundation contacts necessary for the maintenance of trust and continued growth.

Develop a tactical plan for implementing the next 2-3 years of Halcyon’s growth. Manage staff and funds wisely to ensure effective and responsible implementation of the plan. Ensure organizational structures and processes are sound for continued great work beyond 3 years.

Essential Responsibilities:

  • Strategic Planning and Development
    • Develop, recommend, and implement fundraising strategies to achieve goals of $6 million+ annual budget and multi-year reserve campaign of $6-8 million.
    • Meet projected revenue goals through retention and renewal of existing supporters, as well as identification of new foundation, government, corporate and private philanthropic prospects.
    • Identify and support strategic and collaborative alliances with local, national and international organizations (including community groups, museums, business and trade groups, cultural organizations, governmental agencies, and others) to further the Halcyon’s goals and expand the organization’s profile and reputation.
  • Management
    • Serve as member of the senior management team.
    • Develop annual revenue budgets in conjunction with the senior team and Board. Frequently monitor progress towards goals, directing fundraising activities to ensure success and advising appropriate management on performance, budget variances, and significant challenges.
    • Recommend and implement technology, systems innovations, procedures, and fundraising best practices across multiple portfolio owners to achieve revenue goals, engagement targets, and other key metrics.
    • Conceive and oversee major fundraising events, collaborating with the Events team, Board, and senior team.
    • Attract, develop, and retain a competent, well-trained, properly structured and highly motivated fundraising team. Establish performance standards and provide team with timely feedback.
    • Stay abreast of developments in field and participate in relevant professional organizations and meetings to understand and, as appropriate, incorporate trends and new approaches.
  • Relationship Management
    • Seek out, support, and contribute to collaborative relationships and partnerships with team members, fellows, advisors, consultants, stakeholders, congressional and diplomatic corps, and existing funders and audiences.
    • Meet prospective donors and supporters on a continual basis to establish; nurture, cultivate and steward effective relationships.
    • Serve as a Halcyon ambassador at internal and co-hosted events, as well as external events throughout the DMV region.

Position Requirements

  • A minimum of five years of professional fundraising experience in a fast-paced non-profit environment
  • Two years of supervisory/management experience with a team of two or more
  • Bachelor’s degree required; Master’s degree preferred

Summary

Lead Halcyon’s digital communications, including the management of all Halcyon’s social media channels, email communications, website, and digital advertising. Develop a strategy to underpin all of the above, tied to key performance indicators focused not only on increasing the size of Halcyon’s audience, but doing so while also increasing the levels of engagement. Execute social media series designed to promote fellow storytelling, thought leadership, and position Halcyon as a leading source of inspiring, informative content about impact-driven business. Lead the development of digital plans and assets to support all Halcyon’s programming and development needs, including fundraising campaigns, the annual Halcyon Awards, application and recruitment cycles, fellowship programming, and funding vehicle programming. Ensure Halcyon’s brand guidelines are met in all digital content, whether owned by Halcyon or posted elsewhere, and champion key messages to build a supportive, enthusiastic community around Halcyon’s mission and the broader social enterprise ecosystem.

Essential Responsibilities

  • Lead strategy, content development, and community management for all Halcyon’s social media channels, including Facebook, LinkedIn, Twitter, Instagram, YouTube, and Vimeo. Manage outside vendors and agency partners as needed for the creation of digital content.
  • Determine as needed Halcyon’s investment in other digital platforms, and lead Halcyon’s entry into such platforms in a way that keeps us in touch with our target audiences.
  • Work hand-in-hand with program teams to develop content that supports recruitment needs and storytelling for Halcyon’s fellowship programs and funding vehicles.
  • Manage the digital side of Halcyon’s thought leadership efforts, including identifying opportunities to leverage social media platforms to position Halcyon broader, or its leadership, as experts in the area of impact-driven business.
  • Manage Halcyon’s website, including day-to-day edits and approval of team member edits, as well as bigger page rebuilds and the creation of future content, as well as working with an outside vendor to produce additional WordPress modules as needed to meet website needs.
  • Lead strategy and execution for Halcyon’s email communication, including creating and enforcing SOPs for email content creation, building emails, developing email lists and aligning them with email content, and sending emails ranging from monthly newsletters, to special bulletins, to fundraising emails.
  • Develop and execute a strategy for Halcyon’s digital advertising, including social media boosting, social media audience growth campaigns, Google Ads, and other tools.
  • Provide timely and full follow-up on communications projects.
  • Assist in diverse Halcyon activities, including staffing program events, recognizing that teamwork depends on occasionally stepping outside one’s direct responsibilities to support the team’s broader goals.

Title: Program Coordinator, Halcyon Incubator


Job Summary

The Program Coordinator supports the design and implementation of the programming for social entrepreneurs across the Incubator and Intensive programs. The position serves a key coordination role, working with Halcyon Fellows, mentors, leadership coaches, advisors, and partners to create an environment where the Fellows can grow and their ventures can mature to be successful. The Program Coordinator will play a significant role in supporting the recruitment and selection of the Fellows and will work with the wider Halcyon team to support the measurement and evaluation of these programs.

Job Responsibilities
Incubator and Intensives Program Coordination
• Support the planning and preparation of core programming for Fellows, including developing new ways to support the Fellows’ ventures, drafting outreach to programming partners, and coordinating activities with multiple stakeholders
• Manage logistics of both in-person and online programming, creating seamless execution for the attendees, and provide timely follow-up to all programming
• Monitor and strengthen the relationships between Fellows and mentors, advisors, leadership coaches, and partners
• Provide individualized support to current Fellows by acting as a connector, confidant, and empathetic ear
• Prepare, maintain, and present reports that are necessary to carry out departmental functions, including periodic reports to management as required or requested
• Provide ongoing support for post-residency Fellows and their ventures
• Manage and streamline invitations and logistics for Halcyon Incubator and Intensive
events
• Design, conduct and analyze surveys to assess program effectiveness and
recommend changes to enhance the programming
• Assist communication partners by helping maintain and update the Halcyon
Incubator social media accounts and drafting messages for public dissemination

Title: Program Manager, Intensives

Job Summary
The Program Manager for Intensives is chiefly responsible for the design and implementation of intensives programming for social entrepreneurs in partnership with external partners such as: nonprofit-organizations, government entities and embassies, and corporate sponsors. They are the glue that holds the program together by cultivating trusting relationships with entrepreneurs, mentors, advisors, and key stakeholders and partners. The program manager is chiefly responsible for the planning, implementation, and management of all intensive programs and the support staff who are integral in their success.

Job Responsibilities
Program Design, Operations, and Implementation
• Work with the broader Halcyon team to identify and plan core program elements
• Recruit and cultivate relationships with external mentors, advisors and partners
• Manage relationships with sponsors and partners
• Identify, track, and report program metrics, outcomes, and impacts through the use
